We collect information that you provide directly and data generated by using our service. This includes:

• Account and Contact Information: Your email address (used for login/communication), authentication credentials (password or Google/Microsoft OAuth tokens), and any profile data you choose to provide.
• Audio and Transcripts: Audio files you upload and the resulting text transcripts. These are processed to provide transcription services.
• Usage Data & Cookies: Information about how you use Traspion (e.g., timestamps, IP address, browser type, pages visited) collected via cookies and analytics tools for service improvement and security.
• Payment Information: When you make payments, we receive transaction details from our processor (Razorpay). We do not store your credit card information directly; Razorpay handles payment data.

All information we collect is considered your personal data and is handled according to applicable law.

Your data is used only for the purposes of operating Traspion and improving our service. Specifically, we use it to:

• Provide and Improve the Service: Process your audio for transcription, deliver transcripts, and enhance features based on usage patterns.
• Account Management: Authenticate your access, troubleshoot problems, and send important account or security notices.
• Payments and Billing: Facilitate and record transactions via our payment processor. We use Razorpay, a PCI DSS-compliant payment gateway, so we can securely process credit card payments without handling sensitive card data directly.
• Communications: Send you service-related emails (e.g. confirmations, updates) and respond to support requests.
• Legal Compliance: Comply with laws or legal obligations, and protect our rights and users (e.g. fraud prevention, security).

We do not sell or rent your personal information to third parties. We only share data as needed to provide services or as required by law.

Traspion uses AI-powered third-party services to convert your audio into text. When you submit audio, it is sent securely to our transcription provider for processing. The generated transcript is then returned to you. We do not use your content for any purpose other than providing the transcription service (e.g. not for marketing or training other models without your consent). Your audio and transcripts are kept confidential.

We use trusted third-party cloud providers such as Amazon Web Services (AWS) to process and store your data. Data is automatically encrypted at rest and secured in transit using industry-standard protocols. Our cloud infrastructure is certified to internationally recognized security standards, including those specifically focused on protecting customer data in the cloud. We use HTTPS/SSL for all data transfers. Access to your data on our servers is restricted by strong authentication and access controls. While we take reasonable measures to protect your data, no method of transmission over the Internet is completely secure.

All payments on Traspion are processed through Razorpay. Razorpay is a PCI DSS-compliant payment processor, meaning it meets global standards to secure credit card data. When you pay for Traspion services, Razorpay handles your payment details. We only receive information such as payment confirmation, amount, and your email for billing or receipt purposes. Traspion itself does not store your credit card number or bank account information.

Traspion relies on reputable third-party services to operate:

• Amazon Web Services : We use AWS for secure cloud data storage and transcription. AWS may process data in various countries, but maintains strict security standards and EU Standard Contractual Clauses for cross-border data transfers.
• Authentication Providers: You may sign in with Google or Microsoft. When you do, we receive basic profile information (such as your name and email) from those providers, subject to your consent. This allows secure login without storing extra passwords.
• Payment Processor: Razorpay handles all payment transactions (see above).
• Website Analytics: We use Google Analytics to measure website traffic and user behavior. Google Analytics collects data such as your IP address and pages visited via cookies. • Email/Notifications: We use standard email services to send you account and support emails.

All third-party providers we use are bound by confidentiality and security obligations. We share only the minimum data needed with them to perform their functions.

Your information may be processed and stored in countries other than India (for example, AWS data centers in the U.S. or other regions). To comply with data protection laws, we rely on appropriate safeguards such as the EU Standard Contractual Clauses (through AWS and other providers) when transferring data internationally. In all cases, we require that your data is protected according to high security standards.

Subject to applicable law (e.g. the GDPR if you are in Europe), you have rights regarding your personal data. These may include the right to:

• Access – request a copy of the data we hold about you, including transcripts and usage logs.
• Rectification – correct or update inaccurate information in your account.
• Erasure (“Right to be Forgotten”) – request deletion of your personal data if it is no longer needed or if you withdraw consent.
• Restriction/Object – ask us to restrict or stop processing your data in certain situations.
• Data Portability – receive a copy of your data in a portable format (where technically feasible).

You may delete your transcripts and audio files at any time through your account or by contacting us. When you delete content, we will remove it from active storage. We will also delete personal data as required by law (e.g. after account closure or upon erasure requests) unless we need to retain it for legal compliance. Any backup copies will be deleted or anonymized as soon as reasonably possible after a deletion request. Note that some minimal account data (like anonymized logs) may be retained for security or legal purposes as allowed by law.

Our services are not intended for use by children under 13. We do not knowingly collect or retain personal data from anyone under 13 years of age. If we learn that we have unknowingly collected such data, we will promptly delete it. If you believe we might have any information from a child under 13, please contact us.

We may update this Privacy Policy from time to time (for example, to reflect changes in our practices or legal requirements). When we make material changes, we will revise the Effective Date above and provide notice (such as posting on our website or emailing users).
